Congratulations and welcome

If you have accepted an offer of a post and will be joining NHS South Yorkshire in the coming weeks, then this page is just for you.

If you are new to working at NHS South Yorkshire you'll find some practical information as well as getting a taste of the organisation you're about to join.

Our formal organisation name is NHS South Yorkshire but you'll often see and hear us use the term 'the ICB'. This is short for our full statutory name which is NHS South Yorkshire Integrated Care Board. Have a look around this site for more detailed information about our people, partnerships and plans.

Remember, you can contact the colleague named in your offer letter before your start date if you have any specific questions about the role.

Please ensure that you action any new starter paperwork which is to you before your start date.

Employment contract

You will have already received a copy of your contract via email and NHS Jobs. Please make sure that you have accepted your contract on the NHS Jobs Website.

Payroll forms

You'll get a copy of these forms when you start which need to be completed in full and checked and signed by your line manager where applicable.

Identification/building access ID badge

This will be issued at your HR New Starter Appointment in the Education Centre.

If we have not received the electronic form from your Manager, this may delay you receiving your ID Badge, as a further appointment will need to be made – However we will endeavour to ensure your Badge is issued as quickly as possible to your start date, as this badge is required for your appointment with IT as detailed below.

Existing NHS Smartcard

You may already have a Smartcard if you have worked elsewhere in the NHS. If you have advised the HR recruitment officer of this, we will have “Associated” the card which means you may go ahead and continue to use it at this site.

If you have never had an NHS Smartcard

Once you have started and received your NHS email address and login details, you can then obtain your Smartcard (not all posts need a Smartcard).

Shortly before your agreed start date, your manager will get in touch to arrange a time and location to meet you. This will usually be the office classed as your main base and is often the place where you had your interview.

By bus or tram: All our four offices are on public transport bus routes. Check Travel South Yorkshire journey planner to plan your route.

By bicycle: There are a limited number of bicycle storage areas at each site.

By car: During spring and summer 2024 some of our office locations will be changing. Your manager will have explained this at your interview. Our website will be updated when the address change (Doncaster will remain the same address). This will means the parking arrangements will change for colleagues using the Barnsley, Rotherham and Sheffield site. Please check with your line manager for the latest information about the parking options.

Now is a good time to check your motor insurance to to see if you need simply commuting or business class (where you travel in between locations as part of your role).

Postcode: You can check the office addresses here.

When you arrive to your office - we've got four across South Yorkshire - on day one there will be somebody to meet you and you'll get a tour of the office facilities and collect your equipment (laptop and headset usually).

  • All offices have accessible toilet facilities.
  • All offices have facilities to make hot and cold drinks and there are fridges and a microwave in the kitchen areas too.
  • There are no on-site facilities to buy food at any of our sites so come prepared on day one and if you're new to the area, colleagues will be more than happy to recommend their favourite local eateries!
  • Most of our offices work on a hot-desk type arrangement. This might mean that there are areas of the office your team usually sits at but people do not have their own assigned desk unless they are needed as part of someone's needs (certain chairs/desks/access needs for example).
  • We share some of our office buildings with other organisations in the public sector.

What's accessible for one person might not be accessible for someone else, because people access things in different ways.

Accessibility can be about the workplace, for example making sure people can access a work premises. But it's not just about the physical workplace.

We regularly talk with our colleagues to find out where there are barriers.

As an employer we do all we reasonably can to create an environment where people feel safe and comfortable to talk about disability and access needs.

You can arrange to come into your office before your job starts to better understand the layout and facilities if that's helpful. You can also talk to your line manager or our HR team about ways of working and equipment for example once you are in post.

Our offices offer multi-faith spaces. Where we share building with other organisations, these are often shared spaces.

There are lots of resources available to you to help with your induction once you join us. Here's an idea of what to expect.

This is a great way to be formally welcomed to the organisation and get to know your colleagues as well as know more about NHS South Yorkshire. The session includes:

•             Welcome and presentation from a member of the executive team

•             Overview of the NHS South Yorkshire Integrated Care Board

•             Opportunity to meet other new starters, and talk about our values

•             Meet other key people to hear about benefits and support available

There are a range of networks and groups across the organisation made up of colleagues who come together around a shared purpose to improve staff experience within the organisation and across the NHS.

They often share heritage, lived experience, characteristics or just an interest in improving the experience colleagues and influencing change and celebrating an inclusive work environment.

Here are the groups:

  • Carer network
  • Disability network
  • Green network
  • LGBTQ+ and allies network
  • Menopause champion
  • Mental health first aiders group
  • Race and allies network

The groups meet virtually and in person and you can join the network, attend a meeting or offer your support to any of the events or activities they organise.

When you join us you'll get access to our staff intranet as well as receiving regular staff bulletins to help you keep in touch with what's happening across the organisation.

There are regular all-staff virtual sessions where you'll hear from our chief executive Gavin as well as colleagues from across the organisation. This is a great way to get to know people outside of your immediate team and see what they are working on.

If you work in one of our place teams, you'll also have regular sessions, both virtual and in person, with colleagues working in that place, led by the place director.

Most of our colleagues work in hybrid way, mixing working in an office or clinic, or from home, so all of these ways are great to help you feel connected.

This will be one of the things you get to better understand once you're in post. You can check out our executive leadership team and once you start you can check out the staff intranet to find out who does what across the organisation and how to contact them.

You'll also get the opportunity to meet the colleagues you'll be working with as part of your induction in your first few week.

Your wellbeing matters. We have lots of formal and informal health and wellbeing activities, events and services on offer to you. You can read more about them on our dedicated staff wellbeing site.
